An exciting opportunity has arisen for a Medical Secretary to join the Warrington Leadership Team supporting our adult mental health ward medics. You will provide a full Medical Secretarial role, audio typing, dictation and administrative support to the Inpatient s Medical Team. You will also line manage the ward admin staff for 3 wards (Austen, Sheridan and Kingsley) To provide full and comprehensive medical secretarial service to support the Consultant Psychiatrists and junior medics. Provide a comprehensive secretarial service to a Consultant Psychiatrist including, the production of routine correspondence, typing letters, memos, reports etc. ensuring that the Trust s deadlines for standards are met and maintaining an efficient and effective filing and retrieval system. Responsibility for the processing of incoming and outgoing mail, including prioritising, sorting and action as necessary. Be the first point of contact for enquiries, liaising with other agencies/disciplines in a professional manner, ensuring that complex and sensitive information is communicated with empathy and reassurance. To work on own initiative with minimal supervision, prioritising workload, initiating action for and on behalf of the Consultant resolving and/or referring problems as necessary. Responsibility for the compilation and distribution of medical staff rotas, liaising with Consultants/secretarial staff regarding duty cover. Effectively maintain Consultant s appointment diary, arranging engagements and notifying in a timely manner relevant departments of Consultant s absence. Maintain manual and electronic records to ensure up to date information is held, and that case note movement is managed in accordance with local Records Management procedures and input data to relevant Trust information systems. Contribute to the continued improvement and quality of the Administrative Support Service Arranging, when required, meetings and taking minutes, ensuring accurate transcription and distribution. Arranging domiciliary visits and admissions in liaison with Consultants/Wards and other agencies. In conjunction with administrative staff support the smooth running of the clinics. Carry out any special duties/tasks for the Consultant as appropriate to achieve the delivery of an efficient, pro-active and high profile medical secretarial service. Ensure appropriate records are maintained as directed by Line Manager. Participate in the provision of cover and support to colleagues as required. Participate in the local induction process for new staff. Participate in serious untoward incident investigations/reviews as required. Support individual s equality, diversity and rights. Participate in patient and public involvement activities. Contribute towards service improvement initiatives to enhance quality of patient care. Provide information and support to service users/carers as appropriate. Contribute to the continued improvement and quality of the Administrative Support Service. Recognise and respond appropriately to urgent and emergency situations. Contribute to the effective and efficient use of resources. Understand and adhere to Trust policies, procedures and guidelines. Report any concern regarding patient care to line manager. To undertake any other delegated duties as appropriate and commensurate with the post.
